JOB DESCRIPTION: DEVELOPMENT
EVENTS COORDINATOR
MINIMUM
OF RANGE: $23.01/ hour
REPORTS TO: Membership
Manager
SUPERVISES: n/a
SPECIFICATION: Bachelor’s
Degree and a minimum of two years’ experience in a non-profit institution or an
equivalent client-focused environment required, including prior experience
working with volunteers. Must have demonstrated writing, organizational skills,
and an attention to detail and be competent in Microsoft Office products Outlook,
Word, and Excel. Experience with the
Raiser’s Edge or similar database preferred.
Prior experience with cultivation and recognition events is also preferred.
This position requires working some nights and weekends and occasional local
daytime travel.
JOB PURPOSE: The
primary purpose for the Development Events Coordinator is to plan and execute
development events to steward and cultivate major donors and members at all
levels and to support the ongoing fund-raising activity of the division.
DUTIES, WORK PERFORMED:
- Plan and execute an annual schedule of events for
the General Members ($1,000 and under), Beaux Arts Council Members
($1,500+), Corporate Partners, Collectors Circles, and major donors.
- Provide overall event management, including event
budgeting, programming, event promotion, and reservation/ticketing
procedures.
- Create and manage event records, invitation
lists, and reservations within the Raiser’s Edge database and process
reservation requests.
- Work with internal staff, operations, and outside
vendors to arrange staffing, catering, décor, entertainment, and rentals
for events.
- Draft and oversee the production and mailing of
donor communication pieces, including event invitations, event emails and
Web pages, magazine articles, and recognition/program materials.
- Work closely with the Museum’s Learning &
Engagement and Marketing departments to maximize programming opportunities
for members and donors.
- Communicate with Development and External Affairs
Division about upcoming events and registration procedures.
- Establish strong working relationships with and
coordinate the activities of volunteers who are hosting events or
assisting with events.
- Assist the Membership Manager and Development Division
with administrative duties as needed.
