Primary Objectives / Summary

The Project Archivist will be responsible for the continued improvement and proper management of the museum’s archival collections and library. Working under the supervision of the Curator of Collections, this individual will implement archival and library standards and best practices to update and make existing collections accessible. This position is funded in part by a Heritage Support Grant. Heritage Support Grants are provided by the Indiana Historical Society and made possibly by Lilly Endowment Inc.

Responsibilities and Duties

Archive – 60%

·         Integrate approximately 200 linear feet of archival holdings into existing manuscript collection.

·         Re-appraise, arrange, and describe existing collections using current standards and practices.

·         Make materials accessible via PastPerfect Museum Software and museum website.

·         Research and advise additional accessibility avenues.

·         Implement and revise archives policies, procedures, and standards.

Library – 30%

·         Complete inventory of library collection, consisting of cataloging approximately 1,000 local history volumes.

·         Work in collaboration with Elkhart Public Library staff to integrate museum library holdings into the Elkhart Public Library online catalog.

·         Implement and revise library policies, procedures, and standards.

Reference Services – 10%

·         Maintains library and archives usage data.

·         Assist museum staff, volunteers, researchers, and members of the public in accessing and interpreting contents of the collection.

·         Implement and revise reference services policies, procedures, and standards.




·         Appropriate undergraduate degree plus MLS or appropriate graduate degree and training in archival methodology.

·         Minimum 2 years’ experience, or equivalent combination of education and experience, in archival and library work, preferably in a small museum setting.

Knowledge, Skills, and Abilities Required

·         Knowledge and understanding of library and archival principles, methods, procedures, and techniques.

·         Basic understanding of museum collection practices, including accessioning, cataloging, processing, organization, and proper storage and handling of an historical collection.

·         Local history collection experience.

·         Ability to work independently and a proved self-starter.

·         Experience with PastPerfect Museum Software preferred.

Working Conditions

Work will be performed in an office or museum environment. Moderate physical activity, including lifting and moving objects up to 50 pounds or standing/walking for more than 4 hours per day.


The Project Archivist will work under the general supervision of the Curator of Collections, exercising independent judgment within the context of established directions, procedures, and policies.
